On-site registration for the 9th AOEC will open on
Thursday 22nd March 2012

Please see below for all details on registration fees and the registration procedure.


Please note that in order to register through the on-line system:
•    The only form of payment accepted through the on-line registration system is credit card (Visa or MasterCard).

•    Invoices are automatically generated by email confirmation through the on-line system for each registration made. If you register more than one delegate through the on-line system, and you need an invoice for the amount paid, you will be provided with one for every delegate you register.

•    Please ensure the billing details are entered correctly as invoices cannot be changed at a later date.

To register more than one delegate:
•    If you are a sponsor or an agency, and wish to register ten or more delegates, you will be registered as a Group. Please go to registration@epilepsycongress.org to request the form. Each delegate’s full postal and email address must be provided. This information is required for security and insurance purposes. Registrations submitted with companies’ or agencies’ contact details will not be processed until delegates’ details are provided.  

•    Agencies registering delegates on behalf of any member of the pharmaceutical industry will be requested to provide the name and country of the sponsoring company.

* The Special Rate is available to Trainee Doctors, Allied Health Professionals, Practice Nurses & Epilepsy Nurses. Any delegates applying for the Special Rate Registration must provide a letter from their Head of Department in order to prove their role.

**  Subsidised registration fees (with no age limit) are available to nationals of the following countries as defined by Band 1 of the ‘Hinari Access to Research in Health Programme’: Afghanistan, Bangladesh, Benin, Bolivia, Burkina Faso, Burundi, Cambodia, Cameroon, Central African Republic, Chad, Comoros, Congo, Côte d'Ivoire, Democratic People's Republic of Korea, Democratic Republic of Congo, Djibouti, Eritrea, Ethiopia, Gambia, Ghana, Guinea, Guinea-Bissau, Guyana, Haiti, Kenya, Kiribati, Kyrgyzstan, Lao People’s Democratic Republic, Lesotho, Liberia, Madagascar, Malawi, Mali, Mauritania, Mongolia, Mozambique, Myanmar, Nepal, Nicaragua, Niger, Nigeria, Papua New Guinea, Republic of Moldova, Rwanda, Sao Tome and Principe, Senegal, Sierra Leone, Solomon Islands, Somalia, Sudan, Tajikistan, Timor-Leste, Togo, Tokelau, Tuvalu, Uganda, United Republic of Tanzania, Uzbekistan, Vietnam, West Bank and Gaza Strip, Yemen, Zambia, Zimbabwe. All delegates applying for Special Subsidised registration must fax a clear copy of their passport to the congress secretariat at +353 1 212 3576. Alternatively a scanned copy of the passport can be sent to registration@epilepsycongress.org.

Payment Options

Payments are only accepted in US$. Payment can be provided by credit card, bank draft or bank transfer.

BY CREDIT CARD
Please use the on-line system to register by credit card using VISA or MasterCard.

BY BANK TRANSFER
Please contact registration@epilepsycongress.org for a bank transfer registration form.
The registration form has the complete bank details of how to make a transfer payment for registration.
All charges due on the bank transfer must be paid by the participant and a copy of the bank transfer receipt must be attached to the registration form and returned to registration@epilepsycongress.org or by fax to
+353 1 212 3576.

BY BANK DRAFT
A bank draft should be in euro, payable to 9th AOEC Manila. The draft must be sent with completed registration form to:

Cancellations/Refunds

Cancellations will only be processed upon receipt of written notification.  Currency exchanges are the responsibility of the registrant and the Congress Secretariat will accept no liability for money loss through bank charges, transfers or currency fluctuations.  Registration forms not accompanied by the appropriate payments will not be honoured until full payment is received.  Refunds will be settled within one month of the congress, in order to facilitate necessary organisational and logistic procedures.

Cancellation of registration fees is as follows:

On or before 9th December 2011	Registration fees refunded, less 40 US$ administration fee
On or before 13th January 2012	Registration fees refunded, less 30%
On or before 10th February 2012	Registration fees refunded, less 60%
On or before 8th March 2012	Registration fees refunded, less 80%
From 9th March 2012	No refunds

The name change fee (40.00 US$ after 27th January 2012) is not refundable at any time.

Name changes

Any name changes made after 27th January 2012 will be subject to a surcharge of 40.00 US$ This surcharge is not refundable at any time.
Name changes should be requested in writing, detailing who is the delegate you wish to replace and providing full details for the new delegate you want to register (name, postal address and e-mail address). Written confirmation must be provided by the group organiser or delegate being replaced.
